Privacy notice
Last updated: October 2026
InvoiSmart is a WhatsApp invoicing assistant for tradespeople. This notice explains what information we collect, why, and the choices you have.
Who we are
InvoiSmart is run by Sean O'Flaherty, trading as InvoiSmart, Malahide, Co. Dublin, Ireland. We are the data controller for the information described here. You can contact us at invoismarts@gmail.com or on WhatsApp at 087 166 5938.
What we collect
- Your account details: your WhatsApp number and name, and the business details you give us during setup (business name, address, phone, email, VAT number, rates, prices, bank details and logo).
- Job details: the voice notes and messages you send us, and the customer names, addresses and job details in them.
- Invoices: the invoices we create for you.
How we use it
We use this information only to provide the service: to set up your account, create your invoices, and support you when you need help. The legal basis is the performance of our contract with you. We do not sell your information or your customers' information, and we do not use it for advertising.
AI and automated processing
InvoiSmart uses AI services to turn your voice notes into text and to read the job details from your messages. Voice notes are processed to create the invoice and are not stored by us afterwards. You always see the invoice before you send it to anyone.
Who we share it with
We use trusted service providers to run InvoiSmart. They process information on our behalf and only to provide their service to us:
- Twilio and Meta (WhatsApp), to send and receive messages
- OpenAI and Anthropic, for voice transcription and reading job details
- Render, to host our service and store your account and invoices
Some of these providers are based outside the European Economic Area. Where information is transferred outside the EEA, it is protected by safeguards approved under EU law, such as the European Commission's Standard Contractual Clauses or the EU-US Data Privacy Framework.
How long we keep it
We keep your account details and invoices while you use InvoiSmart. If you cancel, we will send you a copy of your invoices on request and delete your information within 90 days, unless we are legally required to keep it longer.
Your customers' information
When you include your customers' details in an invoice, you decide what is included and why. We process those details on your behalf only to produce your invoices.
Your rights
You can ask to see, correct, or delete your information, or to receive a copy of it. You can also object to or ask us to restrict how we use it. To do any of this, contact us using the details above. If you are unhappy with how we handle your information, you can complain to the Data Protection Commission at dataprotection.ie.
